Instrumental Music School Services (IMSS) is a large service provider which works across metropolitan and country primary and secondary schools, providing instrumental instruction to students from Years 3 to 12. In addition to weekly small group instrumental lessons, students have opportunities to participate in enrichment music activities which combine them working collaboratively, across year levels and with students from other schools. IMSS is guided by our school plan as well as overarching Department policies and procedures. Our vision at IMSS is to provide a rich environment where students have opportunities and pathways for inspiration, success in music and personal excellence.

IMSS teachers deliver lessons under the IMSS Whole School Teaching and Learning Program, developed from the WA Curriculum, The Arts (Music) and the IMSS Pedagogical Framework which includes the aspects Playing from Notation, Playing by Ear, Playing from Memory, and Improvisation. IMSS teachers are supported to deliver the teaching and learning program including common assessments which inform ongoing teaching practice. Effective and educative feedback to students, parents, and schools via assessment and reporting is an essential element of the role. Instrumental lessons are delivered alongside the classroom music program and supported by the host school.

The Role

As an Events and Communications Officer, you would provide practical operational and administrative support to the planning, coordination and delivery of the school's diverse events and communications program. Working collaboratively with the IMSS Events Coordinator and stakeholders, you will assist in delivering major events including student festivals, concerts, workshops, parent information sessions, school development days and other school activities. The role involves coordinating event registrations, schedules, venues, resources and logistics, liaising with schools, suppliers and external stakeholders, and supporting purchasing, quotations and associated administrative processes.

A key aspect of the role is preparing and coordinating clear, accurate and timely communications for staff, schools, families and external stakeholders. This includes contributing to newsletters, event correspondence, publications, promotional materials and website content, while maintaining event information, registration systems and administrative records. The successful applicant will ideally be confident using digital platforms and information management systems, with strong Microsoft Office skills, particularly Excel, highly regarded. Experience with online booking systems, digital forms, data management and the preparation of professional communications and publications would be advantageous.

The nature of this role may require a commitment to working outside standard business hours to support the successful delivery of school events and activities. This may include evening and weekend commitments, extended event days and additional hours during particularly busy periods. The successful applicant may be expected to demonstrate flexibility, reliability and a willingness to undertake approved overtime as operational requirements demand. Additional hours worked will be compensated through Time Off in Lieu (TOIL) or paid overtime, in accordance with applicable employment conditions and approval processes.

The successful applicant will ideally display strong organisational skills, attention to detail and the ability to manage competing priorities and deadlines in a busy and varied environment. They should be resourceful, adaptable and capable of anticipating operational needs, resolving problems and progressing allocated tasks with initiative and sound judgement. Strong written communication, customer service and interpersonal skills are essential to working effectively with a diverse range of stakeholders. We are seeking a collaborative and proactive team member who takes ownership of their responsibilities, communicates effectively and contributes practical ideas to improve established systems and processes, helping ensure the successful delivery of IMSS events and communications.
