Administration Officers – Multiple Opportunities
National Trust of Western Australia
The National Trust of Western Australia is seeking organised, proactive and detail-oriented Administration Officers to support a range of functions across the organisation, including Experience & Membership Engagement, Place and Landscapes, and Natural Heritage.
If you enjoy a varied role, take pride in keeping things organised and want to contribute to work that benefits Western Australian communities, these opportunities offer the chance to put your administrative skills to meaningful use.
Join a purpose-driven organisation committed to conserving, celebrating and activating the places and stories that shape our State.
Why These Roles Matter
Behind every successful heritage, conservation and visitor program is a team of people who keep the work moving. As an Administration Officer, you’ll help ensure information is accessible, processes run efficiently and staff have the support they need to deliver their programs and services.
Your contribution will help strengthen the National Trust’s operations and support the ongoing care of Western Australia’s heritage places, natural landscapes and community experiences.
The Opportunities
There are three vacancies available:
- Experience & Membership Engagement: One permanent, full-time position.
- Place and Landscapes: One permanent, full-time position.
- Natural Heritage Conservation Covenanting: One part-time position (0.6 FTE), fixed-term until 30 June 2027, with the possibility of extension and/or permanency.
While the positions share a common administrative foundation, each offers the opportunity to support a different area of the National Trust’s work.
What You’ll Do
Depending on the team, your responsibilities will include:
- Provide administrative and customer service support – Respond to enquiries, manage shared mailboxes, direct requests to the appropriate staff and assist internal and external stakeholders.
- Coordinate schedules and logistics – Arrange meetings, travel and site visits, maintain calendars and support communication between staff, contractors, partners and community stakeholders.
- Maintain records and information systems – Update databases and registers, manage electronic and physical files, and prepare, format and organise correspondence and other documentation.
- Track operational activities and compliance requirements – Monitor key dates, log maintenance requests, maintain relevant records and assist with heritage, environmental and work health and safety processes.
- Support reporting and team activities – Prepare meeting agendas and papers, record minutes, compile information for regular reports and assist with administrative deadlines.
- Support preparation of legal documents relating to private land conservation covenanting
The focus of these duties will vary according to the team, providing opportunities to apply your skills in different operational and stakeholder contexts.
Who We’re Looking For
You’ll bring a practical, solutions-focused approach to administration, along with the ability to manage competing priorities and deliver accurate, reliable work.
You’ll ideally have:
- Relevant administrative experience in a similar role and/or industry.
- High-level attention to detail, with the ability to complete a diverse range of administrative tasks accurately and to a high standard.
- Strong organisational and time-management skills, including the ability to prioritise competing demands and meet deadlines.
- Excellent interpersonal, written and verbal communication skills, with the ability to exercise discretion and maintain confidentiality.
- The ability to work collaboratively and contribute positively within a team to achieve shared objectives.
- Highly developed IT skills, including advanced proficiency in the Microsoft Office Suite, particularly Excel.
Desirable: Knowledge of and/or experience in the legal sector, land resource management, or property law and conveyancing.
The Work Environment
- Location: The Old Observatory, West Perth, with on-site parking.
- Employment options: Permanent full-time and fixed-term part-time opportunities.
- Flexibility: Flexible working arrangements may be available, subject to operational requirements.
- Purpose: Work alongside supportive teams contributing to heritage conservation, natural landscapes, property management and visitor and membership engagement.
