The Arts and Culture Trust (ACT) is seeking a motivated and experienced Administration Assistant to join our team at the Albany Entertainment Centre (AEC) supporting our dynamic venue management team!
As the Administration Assistant at AEC, you will play a key role in ensuring the smooth operation of our venue. From event settlements to accounting tasks and general administration, your contributions will help bring world-class performances and events to life.
As an Administration Assistant, you will provide essential support to our team, handling a variety of administrative tasks with efficiency and professionalism. You’ll be responsible for maintaining records, coordinating office activities, and assisting with general operations to enhance productivity and effectiveness.
Key aspects of this position include:
- Provide administrative support to the team, including data entry, document management, money and correspondence handling.
- Manage office supplies and coordinate procurement processes.
- Assist in scheduling tradespeople, preparing reports, and maintaining filing systems.
- Manages online inductions for all visitors prior to arrival at the venue.
- Liaise with internal and external stakeholders to support smooth business operation while ensuring compliance obligations are met.
- Processes receivables and payables according to ACT procedures and policies. Following up with hirers to ensure timely payments of all invoices.
- Support compliance with ACT policies and procedures.

The ideal candidate will be able to demonstrate the following:
- Demonstrated strong organisational and time-management skills.
- Experience in administration, data- entry, switchboard and finance.
- Proficiency in Microsoft Office and other software such as accounting, ticketing, project management or event management software.
- Excellent punctuality, presentation, communication and customer service skills.
- A keen eye for detail and a proactive approach to problem-solving and supporting management.
- The ability to work independently and as part of a team in a vibrant, fast-paced environment.

This is a recruitment pool for permanent part time appointments. This recruitment pool may be used to fill other vacancies for up to 12 months.

A current Satisfactory National Police Clearance (within 6 months) will be required prior to commencing employment.
