Administrative Officer

The Office of the Information Commissioner WA (OIC) is seeking a highly organised and detail-oriented Administrative Officer to support effective management of incoming correspondence and enquiries, while contributing to the delivery of privacy and freedom of information functions. The role undertakes a range of administrative activities to support the efficient operation of the Office. 

 About the role

The Administrative Officer is a key role at the OIC, responsible for managing incoming correspondence and calls, ensuring enquires are directed to the right person. You will also provide day-to-day administrative support that keeps our privacy and freedom of information (FOI) functions moving.

No two days are the same, but in a typical week you will:

  • be the first point of contact for phone calls and correspondence, responding to enquiries and directing or escalating them where needed;
  • maintain accurate privacy and FOI records and filing systems, entering data with care;
  • arrange meetings, appointments and conciliation conferences, and prepare agendas, minutes and supporting papers;
  • help prepare reports, briefing notes, memos and general correspondence;
  • coordinate registrations for training delivered by the OIC, and support official functions, events and visits;
  • provide a range of administrative and clerical support including purchasing stationery, coordinating maintenance of facilities and ensuring the office runs smoothly;
  • contribute to improving the team's operational policies and procedures.

Part of being successful in this role is having:

  • considerable experience in delivering accurate, timely and responsive administrative functions in a professional environment;
  • strong written, verbal and interpersonal skills to engage effectively with a wide range of stakeholders, including members of the public;
  • a high level of attention to detail with the ability to maintain accurate records and handle sensitive or confidential information with discretion and professionalism.

A National Police Certificate dated no later than three months from the date of appointment with the OIC is required prior to appointment.

The OIC is the independent regulator fostering trust and accountability in Western Australia through privacy and freedom of information.

The OIC provides independent oversight and advice to regulated entities and the community about how regulated entities handle personal and government information. The OIC helps the community understand and exercise their information rights.

Led by the Information Commissioner and supported by the Privacy Deputy Commissioner and Information Access Deputy Commissioner, the OIC oversees privacy and information matters under the Privacy and Responsible Information Sharing Act 2024 (WA) (PRIS Act) and Freedom of Information Act 1992 (WA) (FOI Act).

Eligibility

To be eligible for appointment to permanent positions in the West Australian Public Sector you must be an Australian citizen or have permanent resident status in Australia.
