We are seeking to establish a Pool of Administrative Assistants to fill vacancies that may arise within the next 12 months for Permanent, Fixed-term, Part-time or Full-time opportunities at the Western Australian Museum’s Perth metropolitan sites.

We currently have two (2) Permanent, full-time vacancies available for immediate filling, and two (2) Fixed-term, full-time vacancies also available.

About the role

The Administrative Assistant provides comprehensive administrative, secretarial, and operational support to the Director or Manager and their team.

About you

We are looking for pro-active, self-motivated, and super-organised individuals who enjoy working in a fast-paced and diverse environment.

The successful applicant will be expected to:

  • Provide comprehensive administrative and secretarial support to the Director or Manager, including diary management, correspondence, and stakeholder liaison as required.
  • Coordinate meetings, including preparing agendas and related paperwork, and take Minutes as required.
  • Maintain confidential files and correspondence, and type letters, proofread, edit, and track
  • Undertake financial and basic human resource administrative tasks, including document and report preparation.
  • Liaise with Museum staff, other government officers, internal and external stakeholders, and members of the public as required.

  • A statement of no more than two (2) A4 pages addressing the following essential work-related requirements (selection criteria). Please provide relevant examples to support your claims:
  1. Demonstrated high level secretarial, administrative, and computer skills, including quality word processing and proficiency in the use of Microsoft Office applications and database operations (Criterion 2).
  1. Demonstrated high level organisational and coordination skills, including ability to research, proofread, edit, and collate information with high attention to detail (Criterion 4).
  2. Ability to work with minimal supervision across multiple priorities, exercise initiative and discretion, and work well under pressure to meet competing deadlines (Criterion 5).

Eligibility to Apply

  • To be eligible for appointment, applicants must have the legal right to work in Australia at the time of appointment. This may include Australian citizens, Australian permanent residents, or holders of a valid Visa that permits employment in Australia.

Pool Recruitment

This appointment Pool will be open for a period of 12 months from the day after the breach of standard claim period closes. Permanent, fixed-term, part-time, and full-time appointments may be offered as vacancies arise; however, an appointment is not guaranteed.

Applicants found suitable in this Pool, may be considered for subsequent, similar vacancies with the WA Museum and the Department of Creative Industries, Tourism, and Sport (CITS) for the duration of the Pool.
