The role provides support to the Chief Executive Officer and the Deputy Chief Executive Officer of the National Trust of Western Australia. The successful applicant will demonstrate a high level of competency in providing executive support at the most senior level of the organisation. Key duties: 1. Provides executive support and administrative assistance to the CEO and Deputy CEO; 2. As directed, assists with the preparation and coordination of the Annual Report and the Annual General Meeting requirements, including Council elections; 3. As directed, assists with the requirements of Council and Executive meetings, including the preparation of agendas, briefing papers and minutes; 4. As directed, liaises with the ministerial office on ministerial matters, tracking all correspondence; 5. Maintains the CEO diary/appointments list and assists with the preparation of meetings; 6. As directed, prepares confidential and business administration reports and other requirements for the CEO and the Deputy CEO and maintains electronic and filing database requirements for the CEO; 7. Assists with the records management system, including maintenance for the Executive; 8. As directed, assists in maintaining templates and policy and procedures documentation; 9. Coordinates the completion of CEO correspondence; 10. Provides administrative and secretarial support for the President and Chair of the of Council as required;; 11. Assists with administrative requirements, including reception duties; and 12. Other duties as directed by the CEO.
Essential: 1. Well developed conceptual, analytical and problem solving skills; 2. A strong command of the English language and well developed verbal and written communication skills; 3. Well developed interpersonal and relationship skills; 4. Demonstrated executive secretarial and administrative experience, including preparation of agendas and minute taking, with the ability to provided support for the CEO and Deputy CEO; 5. Experience in government and ministerial office administration; 6. Demonstrated working experience relating to the servicing and governance requirements of boards and committees; 7. Sound, demonstrated information technology skills, including Office Suite of software, Excel, Outlook, power point presentations and database administration; 8. "C" Class Driver's Licence; and 9. National Police Clearance. Desirable: 1. Knowledge of the heritage industry; 2. Experience working with volunteers and a membership based organisation; and 3. Demonstrated qualifications and/or experience in the related disciplines.
Following an initial 12 month fixed-term contract with a six month probationary period, subject to satisfactory performance and financial viability, a longer term extension may be offered. Permanency in the future will be subject to Clause 11 of the Premier's Circular 2018/02.
