This is a fixed term, full-time position commencing January 2025 up until January 2026.
Program Kaartdijin has been established to develop a functionally fit, technologically robust solution to replace the current School Information System (SISClassic) and include additional information capture and reportability. The Program focuses on providing short-term solutions as well as a longer-term solution that meets the operational needs of schools and the reporting and management needs of the Department at large. The Program vision is to provide a contemporary administrative and finance solution connecting people, processes and systems for school communities now and into the future.
The new Kaartdijin Solution will replace the SISClassic suite of applications currently used in 800+ schools throughout Western Australia. The Department has contracted TechnologyOne as the provider of the core finance functionalities and Compass Education as the provider of the billing, student administration and school administration functionalities for schools.
The Program has completed the system design phase and is currently progressing through the test cycles, prior to commencing rollout of the new finance system from Term 1 next year, starting with Pilot at a primary school.

The Role
Program Kaartdijin is seeking to appoint a Project Lead within the Finance workstream to deliver the integrated finance solution in schools whilst maintaining a strong focus on customer service delivery and continuous improvement of services. You will work with the Program Kaartdijin leadership group and the Director, Financial Services, to provide direction on finance matters and manage the finance project component.
The role would suit a candidate with extensive experience in the implementation and support of financial accounting and management systems. A high-level understanding in the provision of guidance relating to changes to financial management, asset and resource management and accounting practices including the new chart of accounts and practical skills in change management are highly desirable.
Key responsibilities:
The Project Lead – Finance, SIS Replacement Project (Program Kaartdijin) has overall responsibility for:
- Working alongside the finance workstream Project Manager on prioritised activities required for implementation of the overall finance system.
- Taking a lead in resolving observations and issues from Testing, including User Acceptance Testing, in consultation with relevant stakeholders in Department of Education (DoE) Central Finance.
- Coordination of feedback and decisions through consultative forums at DoE Central Finance.
- Providing input into communication, support, training and user documentation as part of the roll out to all public schools across the State.
- Providing input into preparation of regular project status reports, and recruitment and supervision of DoE project staff.
- Reporting through project finance steering committee.
- Working with Program Business Analysts and provide guidance and input into process step documentation (process maps) as appropriate.
- Helping classify testing defects based on perceived impact to end users.
- Helping capture/confirm User Acceptance Testing (UAT) scenarios and associated data inputs which would be used to execute business scenarios.
- Liaise with DoE Central Finance stakeholders to provide updates/obtain clarifications as necessary.
- Work with the testing team and help prioritise defects.
- Participate in UAT coordination.
