The Role and our Branch
The Exams, Certification and Testing Division is seeking to hire a highly motivated and organised Administrative Assistant to join their Examination Logistics ECT team.

The Administrative Assistant will prepare documents using advanced Microsoft products whilst providing support to and maintaining team communication processes with schools, the public and within and across the organisation’s teams. The successful applicant will establish, maintain and update databases, undertake data collection, data entry and processing and maintain effective records and information databases in accordance with recordkeeping policy.
The successful applicant will provide a high level of customer service in handling telephone enquiries, ensuring visitors are received and assisted in a professional manner. While also coordinating meetings, including venue and room booking, arranging catering, and preparing and distributing agendas, minutes, and associated documents.

Your written application will be assessed against the following Selection Criteria:
- Demonstrated well-developed word-processing skills and proficiency with other components of Microsoft Office, including Outlook, Excel and PowerPoint and experience using an electronic records management system.
- Demonstrated sound written and oral communication and interpersonal skills with the ability to liaise effectively with individuals at all levels and provide customer-focussed services.
- Demonstrated experience in purchasing, processing accounts for payment and monitoring expenditure for a work unit.
- Demonstrated sound ability to work independently or in a team environment to meet planned outcomes in a timely manner.

Eligibility and Training Requirements
Employees will be required to:
- provide evidence of eligibility to work in Australia for the term of the vacancy;
- complete the Department’s induction program within three months of commencement
- complete the Department’s training in Accountable and Ethical Decision-Making within six months of appointment and every three years thereafter.
- complete the Department’s Aboriginal and Torres Strait Islander cultural awareness online course within 3 months of commencement; and
- complete any training specific to this role required by Departmental policy
- consent to a Nationally Coordinated Criminal History Check and obtain a current Screening Clearance Number issued by the Department of Education’s Screening Unit prior to commencement of employment
- obtain or hold a current Working with Children Check
The Department applies a four (4) day breach period to this selection process.
