This is a twenty four (24) month fixed term, full-time position commencing Term 2, 2024 with possible extension and/or permanency.
Port Hedland Primary School (PS) is seeking a committed, team oriented and dedicated School Officer to join its friendly team. We are looking for a friendly and welcoming school officer who will be a first point of contact for our school.
The successful applicant should undertake reception duties, including greeting visitors, staff and students, answering the telephone and responding to routine enquiries and requests for information, in a friendly and efficient manner. The role also includes supporting student-related activities and assisting with student enrolment procedures.
As the first point of contact for visitors, staff and students in our Administration, you should ideally have an excellent focus on teamwork, show initiative, be solution focussed and have outstanding customer service.
The successful applicant should have strong organisational skills with attention to detail and having the ability to prioritise tasks with minimal supervision, or independently. As a School Officer you should interact with empathy and professionalism within a diverse school community and with a range of government and outside agencies.
As the School Officer you will be responsible for supporting the Manager Corporate Services in administering the schools financial, physical, and human resources whilst upholding confidentiality and security of sensitive material. You will aid other members of the school administration team with maintaining school databases, records and management information systems to ensure they are accurate and up to date, along with general word processing tasks. Within this range of administrative duties, there will be a predominant focus on public relations, such as preparing the school newsletter and publications, maintaining the Port Hedland PS website which requires a detailed knowledge of word processing and web applications.
The successful applicant may be required to perform duties such as assisting with the maintenance of school facilities, assets and resources, including reporting faults, organising repairs and assisting with stock takes. Experience using Seesaw, MSG (Space Chat) and school website maintenance would be advantageous; although this is not essential as we are willing to teach the successful applicant.
In addition, the ability to use various technology platforms and a range of application software packages to support service demands of our school business and in particular our departments online environments. As the successful applicant you will preferably have experience in the use of School Information System (SIS / Integris), RM Billing software, RM Finance (including end of month procedures) and HRMIS. The ability to create spreadsheets and data management will also be highly regarded.
Possessing a friendly, positive, caring attitude with excellent oral and written communication skills will assist you in working with our positively motivated school staff and community.

This selection process will initially be used to fill the above vacancy. Applicants assessed as suitable during this selection process may be considered for other similar vacancies that occur throughout our school for up to 12 months following this initial appointment. This includes circumstances where this position becomes subsequently vacant should the successful applicant decline or vacate the advertised position.
To be suitable for this role, you will need to demonstrate the following work related requirements (selection criteria):
- Experience in providing effective administrative support with the ability to organise and prioritise tasks effectively.
- Experience in financial processes and procedures, including the handling of debtors, creditors, reconciliations, and /or preparing financial returns.
- Ability in using computers and a range of application software packages, particularly databases, spreadsheets and word processing.
- Good verbal and written communication skills and experience in the application of customer service principles and practices.
- Good interpersonal skills and ability to work unsupervised and in a team environment.

Eligibility and training requirements
Employees will be required to:
- provide evidence of eligibility to work in Australia for the term of the vacancy;
- consent to a Nationally Coordinated Criminal History Check and obtain a current Screening Clearance Number issued by the Department of Education’s Screening Unit prior to commencement of employment;
- obtain or hold a current Working with Children Check;
- complete the Department’s induction program within three months of commencement;
- complete the Department’s training in Accountable and Ethical Decision-Making within six months of appointment and every three years thereafter;
- complete the Department’s Aboriginal and Torres Strait Islander cultural awareness online course within 3 months of commencement;
- complete any training specific to this role required by Departmental policy.
The Department applies a four (4) day breach period to this selection process.
