About the Opportunity

WA Country Health Service (WACHS) Medical Workforce (Central Office) is seeking a motivated and organised Administrative Assistant to join our dynamic team supporting the delivery of medical workforce services across regional Western Australia.

This is an exciting entry-level opportunity to work within a high-performing team that provides strategic and operational support across recruitment, credentialing, contracts, onboarding, and workforce coordination for medical practitioners.

You will play a key role in ensuring the smooth day-to-day functioning of the Medical Workforce team by providing high-quality administrative and clerical support to managers and team leaders.

About the Role

As an Administrative Assistant, you will be responsible for delivering a broad range of administrative and coordination services including:

  • Providing confidential administrative and clerical support to the Medical Workforce Manager and team
  • Managing incoming calls, correspondence, and general enquiries
  • Coordinating meetings, preparing agendas, taking minutes, and tracking actions
  • Preparing, formatting, and typing documents to a high standard
  • Maintaining records, registers, and office systems
  • Supporting onboarding and orientation of new staff, including system access
  • Assisting with travel bookings and accommodation arrangements
  • Supporting accounts processes including purchase orders and invoice processing
  • Undertaking data entry, record updates, and data cleansing activities
  • Supporting small administrative projects and improvement initiatives

About You

You are a highly organised, proactive, and reliable individual who enjoys working in a fast-paced team environment. You bring strong communication skills, attention to detail, and a willingness to learn.

To be successful, you will demonstrate:

  • Experience in providing administrative support in a professional environment
  • Strong interpersonal and communication skills (written and verbal)
  • Excellent organisation, time management, and prioritisation skills
  • High-level computer skills, including Microsoft Office and data systems
  • Ability to maintain confidentiality and exercise discretion
  • Experience in minute taking and meeting coordination (desirable but not essential)
  • Understanding of basic accounting or finance processes (desirable)
