We are looking for a friendly and collaborative person to lead and
support the delivery of administrative services for our patients
across all our clinical programs at the Neurosciences Unit, which
is located within Graylands Hospital campus. You will work directly
with clinicians, patients/families and other administrative team
members to deliver our services. We are looking for candidates who
can have well-developed leadership and supervision skills, but
further support for leadership development will be provided by the
Neurosciences Unit Director and other members of the leadership
team.
The Neurosciences Unit works with a children and adolescents,
adults and older adults with neurological and mental health
conditions. We have the following programs at the
Neurosciences Unit:
- Assessment programs for children, adolescents, and adults
to help patients, families, and referrers understand the impact
of various conditions on a person’s thinking and brain
functioning.
- Long-term continuing care programs for Huntington’s disease
and Young Onset Dementia.
- Predictive testing (genetic counselling) for Huntington’s
disease and familial dementia. These programs support people
who are considering testing for genes that affect their risk of
developing Huntington’s disease or dementia in the future.

What is our Administrative Assistant role?
The Administrative Assistant oversees and delivers
administrative tasks across all programs including doctor’s clinics
(neurology, psychiatry) on the Huntington’s disease and Young Onset
Dementia programs. You will work closely with the administrative
team under the line management of this position and the clinical
team leads who will communicate the clinical and administrative
requirements of their programs and share responsibility for service
delivery. Our administrative team are essential to ensuring our
services run smoothly and as the initial point of contact for
patients and families presenting to our service.
You will complete the following tasks, both directly and with
other administrative staff:
- Develop staff and processes in collaboration with other
members of the leadership team
- Lead, train, line-manage, and support other administrative
staff
- Liaise professionally with relevant stakeholders
(i.e. pharmacies, guardians, family members)
- Respond to and direct phone calls, including taking
messages
- Greet and identify patients upon arrival
- Booking appointments from the waitlist and managing a busy
clinic calendar
- Record keeping and documentation on WA health systems (e.g.
PSOLIS, webPAS, RoStar)
- Review and distribute clinical letters
This position involves the management of confidential and
sensitive information, including information related to mental
health and child protection risks. There is support available to
assist staff in managing this information.

Eligibility to Apply: To be eligible for
appointment you must have documentary evidence of your entitlement
to live and work in Australia for the period of the contract.
