This recruitment process is intended to establish a pool of suitable applicants who are able to fulfil the role of Appointments Secretary in ministerial offices.

Suitable applicants from this process will be placed in the pool from which temporary and/or permanent appointments may be made. This pool will operate for a period of 24 months from the date that the recruitment breach period has been finalised.

About the Role

The Appointments Secretary is responsible for the Minister’s appointments diary and organising the scheduling of the Minister’s engagements.  This includes organising itineraries, travel arrangements, venues, and accommodation for the Minister. 

In this role, you will be required to liaise with staff from other ministerial offices, senior departmental officers and business and community organisations in relation to meetings and invitations.

The role will also require you to provide high level executive support to the Minister and other senior staff by assisting in the preparation of editing and reviewing memos, letters, ministerial documents, submissions, briefing notes, speeches, minutes and reports, as required.

    • Demonstrated high level ability to prepare and maintain diaries, itineraries, schedules and record management systems using electronic diary and email systems.
    • High level interpersonal skills, including the ability to liaise with officers at all levels and act on own initiative without supervision.
    • Good planning and organisational skills as well as experience dealing with issues of sensitivity and confidentiality

Shortlisted applicants will have their skills and experiences in relation to the remaining role specific requirements and capabilities (found in the attached JDF) assessed in the further stages of the recruitment process.

Suitable applicants will be required to participate in our Fit2Work process on commencement to provide:

  • Proof of identity 100-point check.
  • A satisfactory National Police Certificate issued by the Western Australia Police Force.
