About the role
The Public Transport Authority is seeking a highly organised and proactive Executive Assistant to provide exceptional secretarial and administrative support to the Chief Operating Officer (COO) and the wider Business Services team at Office of Major Transport Infrastructure Delivery .This pivotal role is responsible for managing the COO’s calendar, coordinate meetings, handle confidential correspondence, prepare briefing materials, and maintain an efficient records management system. You’ll also support the preparation of Ministerials, Parliamentary Questions, and executive reports, ensuring information flows smoothly and accurately.
This role offers variety and impact, from organising travel and processing invoices to coordinating workshops, functions, and conferences. You’ll prioritise incoming requests, monitor deadlines, and assist with research and documentation as needed. If you’re proactive, detail‑focused, and thrive in a fast‑paced environment, this position gives you the opportunity to help drive operational efficiency at an executive level.

- Strong administrative capability, including senior-level support experience, solid process knowledge, and the ability to manage confidential matters with discretion.
- Effective written and verbal communication skills, with the ability to build relationships and work collaboratively.
- Proven research and analytical skills, with a focus on practical problem‑solving and process improvement.
- Excellent organisation and time‑management skills, supported by advanced MS Office proficiency and experience using diverse information systems.

There is currently one fixed term opportunity until 31 October 2029 available for an immediate start with the possibility of renewal and/or permanency. Applicants assessed as suitable through this process will be placed in a pool and may also be considered for similar vacancies on a fixed term or permanent basis that may arise within the next 12 months.
To be eligible to work at the PTA you must be either an Australian Citizen or Australian Permanent Resident or hold a valid work visa until 31 October 2029.
