This is a permanent full-time position commencing ASAP 

The Information and Communication Technologies Directorate is seeking to appoint a highly motivated individual to join their team in the role of a Records Training and Support Officer.

The successful applicant will supervise the Mail and File Management Team including prioritising workflows, sorting and distributing mail and tracking of files. As well as assisting with the development and preparation of specialist records disposal training programs for record management practitioners in Central Office, Education Regional Offices and schools.

The ICT Governance Branch is responsible for ensuring there is a strategic approach to managing information and knowledge. This includes developing the Department’s overarching Information Management Strategy, improving information access, quality, security, compliance and lifecycle management; and supporting business with tools and technology to effectively capture, share and reuse corporate information. The Branch manages Corporate Information Services (CIS) which includes records management, library, switchboard and the Department of Education’s Record Keeping Plan (RKP), developing information management policies, procedures and guidelines to ensure that the Department complies with legislation relating to the management, distribution, retention, disposal, privacy and security of corporate information.

This selection process will initially be used to fill the above vacancy. Applicants assessed as suitable during this selection process may be appointed to other similar vacancies that occur throughout our branch for up to 12 months following this initial appointment. This includes circumstances where this position becomes subsequently vacant should the successful applicant decline or vacate the advertised position.

To be suitable for this role, you will need to demonstrate the following:

  1. Experience in managing records in a large organization in accordance with the State Records Act 2000.
  2. Sound team building and supervisory skills including the ability to monitor and coordinate the workflow of the team to ensure deadlines are met.
  3. Good conceptual, analytical and problem solving skills including the ability to think clearly and solve problems autonomously.
  4. Sound verbal and interpersonal communication skills with an ability to apply these skills to all levels and focus on customer service.
  5. Sound written communication and presentation skills with the ability to develop and implement user-training material and procedures.

ELIGIBILITY

Employees will be required to:

  • Provide evidence of eligibility to work in Australia for the term of the vacancy
  • obtain a current Department of Education Criminal Record Clearance before commencing employment
  • hold a current ‘C’ Class Drivers Licence; and
  • Travel to schools and Regions.

TRAINING

Employees will be required to:

  • Complete the Department’s induction program within three months of commencement;
  • Complete any training specific to this role required by Department policy; and
  • Complete the Department’s training in Accountability and Ethical Decision-Making within six months of appointment

The Department applies a four (4) day breach period to this selection process.
