This is a fixed term 6-month full-time position, with the possibility of extension and/or permanency commencing ASAP

We are seeking a highly skilled and proactive Executive Assistant to provide exceptional administrative and executive support to the Executive Director in a dynamic and fast-paced environment. This pivotal role demands a professional with demonstrated expertise in high-level administration, outstanding interpersonal and communication skills, and the ability to manage complex tasks with precision and discretion.

The Enterprise Governance and Partnerships Division drives high performance at a system level by providing senior leaders with visibility and assurance of system performance and improvement initiatives and confidence in the management of key external partnerships. We do this by:

  • ensuring strategic responses and projects are delivered within expectations underpinned by quality project and program management methodologies
  • improving oversight of high-level strategic priorities and projects through increased visibility and quality assurance
  • aligning governance standards to the strategic significance and complexity of initiatives
  • supporting evidence-based decision making through effective use of intelligence and data
  • developing and maintaining effective partnerships to support strategic alignment and positive relationships both within and external to the Department, including with higher and international education stakeholders.

The Role

The successful candidate will be adept at coordinating formal correspondence, briefing notes, and Ministerial responses, while also applying sound financial management practices. The Executive Assistant’s key responsibilities include scheduling appointments, handling enquiries, coordinating and tracking correspondence, maintaining data sets for reporting and manages travel and accommodation arrangements, overseeing the Executive Director’s budget – including payments, corporate card reconciliations, and travel expenditure.

The successful applicant will be comfortable liaising with senior staff across the department and other agencies including the Minister’s Office. The position requires attention to detail and the ability to be agile and responsive to competing deadlines. It is highly desirable that applicants have experience with HP TRIM or similar records management software and the Microsoft 365 suite of applications including TEAMS.
