Program Kaartdijin is seeking to establish a pool of Training Officers for appointments to fixed term, full-time vacancies which may arise during 2023 and up to the end of October 2025. Appointments can be made from the pool at any time for commencements from 2023 up to the end of October 2025.

The Branch

Program Kaartdijin has been established to develop a functionally fit, technologically robust solution to replace the current School Information System (SISClassic) and include additional information capture and reportability. The Program focuses on providing short term solutions as well as a longer-term solution that meets the operational needs of schools and the reporting and management needs of the Department at large.  The Program vision is to provide a contemporary administrative and finance solution connecting people, processes and systems for school communities now and into the future.

The new Kaartdijin Solution will replace the SISClassic suite of applications currently used in 800+ schools throughout Western Australia.  The Department has contracted TechnologyOne as the provider of the core finance functionalities and Compass Education as the provider of the billing, student administration and school administration functionalities for schools.

The Role

The Training and Support workstream within Program Kaartdijin has been established to support school users to transition from the current SISClassic suite of applications to the new Kaartdijin Solution.  This will be through targeted professional learning sessions – including face-to-face training, WebEx, webinars and eLearning modules. Our training team is passionate about increasing school user adoption through activating and transferring prior knowledge of school management processes (including school administration, student administration, timetabling and financial management) to the new Kaartdijin Solution. 

Training Officers will be responsible for developing and delivering course content – using their strong writing skills to interpret subject matter and prepare training materials as necessary.  They will be responsible for completing ongoing research to identify relevant business processes, legislation, policy, and procedures and ensuring that training content maintains currency.  Training Officers will deliver face to face training presentations to school principals, managers corporate services, teachers, school officers and other end users as necessary.  Using their excellent subject matter knowledge, Training Officers will also provide responsive assistance to schools during a hypercare support period. 

Working collaboratively with the Training and Support Team Leads and other Training Officers, successful applicants will manage a coordinated and systemic approach to professional learning in one or more of the below workstreams:

  • Schools: Student enrolments, school/staff management, attendance, events management, transfer activities, pastoral care practices and timetabling
  • Finance: Purchasing and payables, asset and resource management, billing and accounts receivable, ledger maintenance and reporting

We are seeking applications from staff who have the ability to facilitate and present engaging professional learning sessions.  Successful applicants will deliver engaging and relevant training to school users, and as such, knowledge of school administration practices will be highly regarded.

Please be aware that this position may require frequent travel to both metropolitan and regional schools and education regional offices across Western Australia.

Eligibility and Training Requirements

Employees will be required to:

  • provide evidence of eligibility to work in Australia for the term of the vacancy
  • complete the Department’s induction program within three months of commencement
  • complete the Department’s training in Accountable and Ethical Decision-Making within six months of appointment and every three years thereafter
  • complete the Department’s Aboriginal and Torres Strait Islander cultural awareness online course within 3 months of commencement
  • complete any training specific to this role required by Departmental policy
  • consent to a Nationally Coordinated Criminal History Check and obtain a current Screening Clearance Number issued by the Department of Education’s Screening Unit prior to commencement of employment

The Department applies a four (4) day breach period to this selection process.
