This is a 12 month fixed term, full-time position commencing early July, with possible extension and/or permanency
We are seeking an organised and enthusiastic administrative officer to support our Executive Recruitment team.
About the role
As part of our new Executive Recruitment team, you will be a key contributor to an initiative supporting our Corporate Executive and Directors of Education with the recruitment, selection and appointment processes of school principals and senior executives.
You will support the team with a range of administrative responsibilities which include:
- Providing support in preparation of vacancies and ensuring job application information is available to candidates;
- Arranging external advertisement of Department vacancies across various formats, including online, association and professional or occupational platforms and newspapers;
- Providing support for the procurement and use of external professional services;
- Preparation and collation of panel resources and documentation for recruitment, assessment and selection processes;
- Coordinate the delivery of panel member training when required;
- Update and maintain databases, records and management information systems;
- Liaise with other Department officers to support recruitment activities, including booking venues, arranging shortlisting meetings, interviews and facilitating various assessments;
- Manage and respond to general telephone, email and reception enquiries and refer matters to appropriate recruitment staff as necessary;
- Assist with travel arrangements, including preparing travel documents, booking flights and accommodation when required.

This selection process will initially be used to fill the above vacancy. Applicants assessed as suitable during this selection process may be considered for other similar vacancies that occur throughout our division for up to six months following this initial appointment. This includes circumstances where this position becomes subsequently vacant should the successful applicant decline or vacate the advertised position.
To be suitable for this role, you will need to demonstrate the following work related requirements:
- Experience in general administrative duties and support.
- Sound written, verbal and interpersonal communication skills with the abilityto liaise effectively with individuals at all levels.
- Well developed keyboarding and computer skills including a working knowledge of databases, spreadsheets, word processing and experience using an electronic records management system.
- Sound organisational skills, including the ability to use initiative and work independently, maintain confidentiality and as part of a team.

ELIGIBILITY AND TRAINING REQUIREMENTS
Employees will be required to:
- provide evidence of eligibility to work in Australia for the term of the vacancy
- obtain a current Department of Education Criminal Record Clearance before commencing employment
- complete the Department’s induction program within three months of commencement;
- complete any training specific to this role required by Department policy; and
- complete the Department’s training in Accountability and Ethical Decision-Making within six months of appointment
The Department applies a four (4) day breach period to this selection process.
