The Information, Communication and Technologies (ICT) Division is seeking to recruit a professional, highly motivated and committed Executive Assistant.
In the role of Executive Assistant, you will provide administrative support to the Chief Information Officer (CIO) and other ICT Senior Management staff, as required, which may include:
- Preparing, proof reading, formatting, coordinating and circulating correspondence and briefing notes (including approvals)
- Arranging travel and accommodation
- Scheduling appointments, diary management
- Minutes of Senior Management and other meetings
- Managing enquiries and requests, fielding calls
- Gathering background information on issues, assessing priority, referring matters and follows up with the CIO or other staff members on behalf of the CIO
- Administering and monitoring the CIO’s contingency budget which may include:
- Paying accounts
- Organising corporate card statements and payment vouchers
- Arranging quotations, procurement requests
- Monitoring travel expenditure
- Conducting research and investigations which may include library research and the review of professional journals, newspapers and media statements for issues of interest and importance
- Liaison with a wide range of people including Divisional staff, the Minister’s Office, senior staff of other agencies, parents and members of the public on a diverse range of issues
- Receiving confidential and sensitive enquiries which require appropriate referral and timely responsesThis selection process will initially be used to fill the above vacancy.
The successful applicant will be an organised, efficient and proactive person with an excellent work ethic and the ability to effectively deal with competing priorities to meet deadlines.
Applicants assessed as suitable during this selection process may be considered for other similar vacancies that occur throughout our branch for up to 12 months following this initial appointment. This includes circumstances where this position becomes subsequently vacant should the successful applicant decline or vacate the advertised position.
To be suitable for this role, you will need to demonstrate the following work related requirements:
- Sound administration and problem solving skills with the ability to provide executive support to senior managers.
- Sound oral communication and interpersonal skills, including the ability to liaise effectively with senior managers on a wide range of issues.
- Sound written skills with the ability to prepare correspondence, minutes and briefing notes.
- Sound organisational skills with the ability to work with limited supervision and make decisions in an environment with competing priorities and strict deadlines.
- Broad understanding of the information and technology industry.

ELIGIBILITY AND TRAINING REQUIREMENTS
Employees will be required to:
- provide evidence of eligibility to work in Australia for the term of the vacancy
- obtain a current Department of Education Criminal Record Clearance prior to commencement of employment
- complete the Department’s induction program within three months of commencement
- complete any training specific to this role required by Departmental policy
- complete the Department’s training in Accountable and Ethical Decision-Making within six months of appointment.
The Department applies a four (4) day breach period to this selection process.
