This is a Fixed‑Term Full Time role at 1.0 FTE (Full Time Equivalent) for 6 months with the possibility of extension and/or permanency. Part Time hours (0.8 FTE or higher) may also be considered.
About Our Team:
The Child and Adolescent Mental Health Services (CAMHS) in Western Australia offer support, advice and treatment to children and adolescents from birth to 18 years who are experiencing mental health challenges.
About the Role:
CAMHS are seeking to appoint Administrative Assistants who can provide administrative support services to the multi-disciplinary teams within Community CAMHS.
As an Administrative Assistant, you'll be responsible for:
- Managing reception services, ensuring a welcoming and efficient experience for patients, staff, and the public, and handle incoming correspondence via phone, email, and in person, directing and resolving queries appropriately.
Supporting the administration team by actioning routine matters, drafting correspondence, and preparing basic reports.
- Screening and processing incoming correspondence and enquiries (in person, phone, inter‑hospital, public and private), and directing these to appropriate personnel.
- Providing a professional reception service, welcoming visitors and responding to enquiries in a courteous and appropriate manner.
- Transcribing correspondence, memoranda, reports, meeting minutes, and presentations from dictation or draft, including proofreading and editing for accuracy and completeness.
- Coordinating meetings, including room bookings, agenda preparation, and taking minutes as required.
- Establishing and maintaining filing systems (electronic and hard copy).
- Maintaining departmental and other databases and compiling statistical data and reports as required.
- Ensuring timely and accurate data entry across a range of information systems.
- Raising requisitions and ordering stationery, catering, and other supplies as required.
- Facilitating payment of accounts by obtaining invoice authorisation and forwarding for processing.
- Monitoring and arranging maintenance of assets such as printers and office equipment.
- Providing comprehensive administrative support, including transcribing and proofreading documents, preparing reports, and managing filing systems.
- Supporting stakeholder meetings by preparing agendas, taking minutes, and coordinating logistics.
- Ensuring accurate and confidential data entry and reporting using Mental Health Information Systems, maintain departmental databases, and monitor and organize maintenance of office equipment and assets.
- Supporting a safe, high-quality, and family-centered patient care environment, while adhering to relevant policies, procedures, and legislative obligations, and WA Health Code of Conduct and CAHS Vision and Values.
- Participating in continuous quality improvement and professional development, completing mandatory training, and supporting the health service's strategic goals and safety standards.
The ideal candidate will have:
- Demonstrated experience in the provision of administrative services.
- Good interpersonal, verbal, and written communication skills with ability to liaise effectively within a multidisciplinary team.
- Demonstrated ability to undertake duties without direct supervision both dependently and effectively as a member of a team, within a multidisciplinary team environment.
- Demonstrated ability to effectively organise and prioritise activities to meet deadlines and work effectively under pressure.
- Demonstrated experience in in the use of keyboards/personal computer software applications including proficiency with ‘Windows’ based word processing and database software.

Whilst this selection process will initially be used to fill the above vacancy, applicants found suitable for this position may be considered for other ‘similar’ vacancies within CAHS and/or the wider WA public sector.
